Guidelines

To work efficiently, we need to set guidelines.

Guidelines for teams:

  • Meetings:
    • Every team must meet once in a month, can be virtual meeting also.
    • A detailed agenda must be mailed a week before the meeting.
    • Participants must prepare their views for each topic mentioned in the agenda and send a mail to the team.
    • When the actual meeting starts, all views are available and participants can directly start the discussion.

  • Discussions:
    • Practise Six Hat Method. Do not argue. If all of us think from one point of view, we can get to know all the points. List them. List each alternative with the pros and cons. At the end see which one would be the best. More so, if we can come up with a new alternative.
    • Conduct the meetings seriously. Keep the fun and frolic after concluding the meeting.
    • MOM should be prepared and mailed asap to the group.

  • Activities:
    • A calendar must be prepared on what are the activities that the team is going to take up and the deadline for each one.
    • An activity must be split into tasks and each member must be assigned a task.
    • The calendar should be mailed to the group along with the members assigned for each activity.

  • Team Structure:
    • There must be a Program Manager and a minimum of four members. Program Manager reviews, suggests new activities, co-ordinates with teams and the other parties concerned and see to that the activities go on and are reported also.
    • There must be a writer who should update the group about the activities of the team in the prescribed format.

Guidelines for members:

  • Team: Every member must decide their area of interest and should join that team.

  • Details: Every member must specify the contact details: E-mail, Mobile and Place of Stay.

  • Dates: Every member must clearly mention the two days that they are going to commit for BOSF.

  • Participation: Every member must participate actively and complete the task that they committed.

  • Absence: If for any reason one cannot participate the day that one committed, they have to inform before hand. If the need is all of a sudden, then see to that they arrange someone else on their behalf.

  • Manners:
    • Participate actively in all discussions of respective team.
    • Specify the reason behind a decision. If you say 'yes', why? If you say 'no', why. Be clear.
    • If you feel that some activity could be better and you do not know the alternative, do not express. The team takes decision only after discussion. So at that point of time, with the combined experience and exposure of the members, they took the decision. If you feel it could be better, suggest the alternative, in what way that they can improve. If you cannot think of an alternative, do not express at all. This is about airing negative views when the project is under way.
